EEA students

Deadlines for EEA candidates

The application window for EEA candidates is open up to 1 May 2024.

If you are to obtain your diploma (certificate) after 1 May 2024, you can upload an official and signed statement from your educational institution, with the following information:

• official name of the diploma (certificate) that will be obtained 

• predicted grades 

• date on which the diploma (certificate) will be issued 

• name of the educational institution that will issue the diploma (certificate)

Non-EEA students

Deadlines for non-EEA candidates

The application window for non-EEA candidates is open up to 1 May 2024.

If you are to obtain your diploma (certificate) after 1 May 2024, you can upload an official and signed statement from your educational institution, with the following information:

• official name of the diploma (certificate) that will be obtained 

• predicted grades 

• date on which the diploma (certificate) will be issued 

• name of the educational institution that will issue the diploma (certificate)

The deadline to demonstrate the sufficient means of subsistence, if applicable, is 30 June 2024.

Step 1 > Online registration

You must make an online registration in order to apply for (one of) our programmes.

During the online registration, the following documents must be uploaded:

  • Photograph for the student card
  • Passport
  • Your original diploma(s) and transcript(s)
  • An official translation of your original diploma(s) and transcript(s) in Dutch, English, French or German, if the original diploma is not issued in one of these languages
  • Proof of English proficiency

The Admissions Office will only consider duly completed and successfully submitted applications.

Candidates for our postgraduate programmes Aviation Management (22 ECTS) and Unmanned Aircraft Systems (27 ECTS) must send an email to admission@vives.be with the following documents as an attachment:

  • Passport
  • Bachelor or master diploma(s) and transcript(s) (or equivalent through experience)
  • Proof of English proficiency

The Admissions Office will then inform you about the application procedure (≠ procedure for our bachelor degree programmes).

Step 2 > Certified copy

After the online registration, you need to send us a certified copy of your secondary education degree(s) and/or higher education degree(s).

A certified copy of a document is a copy taken of the original document by the educational institution that issued the degree. That institution must stamp the copy, thereby attesting that it is a true and authentic copy of the original document. These certified copies must be sent, by the educational institution itself, in a sealed envelope, to the following address:

Please note that photocopies or digital versions of certified copies are not accepted.

Step 3 > Feedback

When you have submitted a duly completed application and the certified copies of your degrees by postal mail are received, an investigation will take place by the Admissions Office. You will be notified by email on whether your application has been approved or rejected. In case of approval, the declaration of admission will be uploaded in the application portal.

Step 4 > Demonstrating sufficient means of subsistence (only for non-EEA students)

It is stipulated that students need to demonstrate that they are able to cover their living expenses, study costs, healthcare and repatriation costs.

Proof of sufficient means of subsistence is provided by submitting one or more of the following documents:

  1. a certificate drawn up either by an international organisation or a national government, or by a community, region, province or municipality, or by an institution of higher education, to the effect that the third-country national is receiving or will soon receive a scholarship or a loan;
  2. a commitment to a formal obligation
  3. any other proof of sufficient means of subsistence – for example, a certificate drawn up by the institution of higher education specifying that the third-country national has deposited a sum covering the costs of their stay in Belgium in a frozen account managed by the institution.

VIVES University of Applied Sciences highly recommends the third option (blocked bank account procedure).

When your application has been approved, you will be contacted by our Admission Office with more detailed information with regard to the blocked bank account procedure (if no proof of scholarship or a commitment to a formal obligation has been uploaded). 

The Federal Public Service Foreign Affairs, Foreign Trade and Development Cooperation of Belgium is yet to announce the minimal amount per month for academic year 2024-2025.

Remarks

  • The purpose of the blocked bank account procedure is to obtain a visa or to extend your residence permit.
  • Invoices for f.e. tuition fees and housing are not automatically deducted from the blocked bank account.
  • Keep in mind that you will have to demonstrate the sufficient means of subsistence at the start of every academic year during your studies.

Step 5 > Visa application (only for non-EEA students)

You will receive a declaration of admission from the Admissions Office, along with a proof of solvency after the blocked bank account funds have been received (if no proof of scholarship or a commitment to a formal obligation has been uploaded). 

You will need those two documents for your student visa application. Waiting time for visa processing is approximately four weeks, but it could take up to six months. Therefore, submit your visa application on time.

After you have emailed a copy of your student visa to admission@vives.be, you will receive instructions by email with regard to the last phase of the enrolment procedure.

Step 6 > Enrolment

You will receive instructions by email with regard to the last phase of the enrolment procedure. You will have to confirm your application online. Note that this last step is legally binding. You can consider this as signing a contract with VIVES University of Applied Sciences.

The Admissions Office will then give permission to the Student Administration Office to finalise your enrolment. Finalisations are possible as of 29 June 2024.

You will then receive the enrolment documents and the fixed registration fee invoice by email. Make sure to check the spam folder!
